Full-time Monday – Friday
Shifts: 7:30 am – 4 pm, 9:30 am – 6 pm or 10:30 am – 7:00 pm
            ***Need to be flexible and available to work any of the shifts

A nonprofit healthcare organization in Costa Mesa has an immediate opening for a Bilingual Patient Services Representative (Front Desk).
 
Qualified candidates must be bilingual in English and Spanish. Employer prefers someone with some experience but is also open to seeing recent graduates. 

JOB SUMMARY:
Greets and welcomes patients as first point of contact upon clinic entry. Assigned to front desk duties and data entry for patients checking in. Assists patients with customer service issues and resolving both minor/complex issues. Manages incoming calls to the medical/dental clinic and assists callers. Sets medical and eligibility appointments and answers questions. Completes outbound calls for appointment reminders or re-scheduling. Prepares and mails welcome letters to all new MSI/Cal Optima patients weekly. Checks all front desk voicemails and ensures calls are returned timely. The Patient Services Representative works in the team-based model of care.

RESPONSIBILITIES
  • Manages the care of patients in collaboration with other health professionals and members of the health care team in order to make decisions about treatment and attain health goals.
  • Greets patients and visitors and assists them while being positive and respectful of their needs.
  • Tracks no-shows and sends no-show reminder letters on a daily basis.
  • Uses EHR to send messages to providers regarding patient care, prescriptions or questions.
  • Takes payments and manages cash drawer accurately.
  • Contributes to tracking reports and analyses requested by supervisor.
  • Performs job function in accordance with the departmental policy and procedures.
  • Adapts to changes or unusual circumstances to promote cooperation and minimize disruption to working environment.
  • Attends training sessions as needed. Attends and contributes to department, team, and other clinic meetings
  • Completes all administrative duties and other duties as assigned by supervisor.
  • Works overtime if requested and authorized.
QUALIFICATIONS and EDUCATION:
  • High school diploma or GED required
  • Proficient in English and Spanish for both verbal and written communication, including use of basic medical terminology.
  • One year minimum of high volume customer service experience
  • One year of medical and/or dental office experience with patient care preferred.
  • Must have basic math skills to add, subtract, multiply and divide correctly.
  • Able to take cash payments and correctly manage change.
  • Has personal vehicle for work use; has valid driver’s license and good personal driving record and insurance policy that meet requirements
COMPUTER & EQUIPMENT SKILLS:
  • Proficient Use of Internet, Microsoft Word, Excel and Outlook
  • Uses electronic medical record software (Allscripts); develops proficiency within 3 months of training
  • Strong knowledge of computer operations, proficiently uses a keyboard
  • Use typical office equipment (computers, fax, phones, copiers, audiovisual)
