Full-time (open 7:30 am – 6 pm) and rotating Saturdays (8 am – 12 pm)
 
An orthopedic center in Newport Beach has an immediate opening for a Check-in Receptionist. Employer is willing to consider BA and ABC interns with strong computer, customer service and communication skills.
This position is for a full time front office receptionist with a customer service orientation – registers patients, requests and posts payments, balances cash daily, prepares the office for the day, schedules patient appointments, and keeps waiting room neat and clean.

QUALIFICATIONS AND EXPERIENCE: 
  • Minimum one year experience in a medical office or other customer service position
  • Comfortable using email and interacting with Internet applications
  • Knowledge of practice management and word processing software
  • Ability to perform multiple and diverse tasks simultaneously
  • Proven experience handling irate patients/customers and dealing with conflict
  • Familiarity with scheduling and rearranging appointments
  • Working knowledge of managed care insurance
  • Pleasant speaking voice and demeanor
  • Neat, professional appearance
  • Strong written and verbal communication skills
  • Strong customer service skills
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following: 
Daily Preparation and Maintenance 
  • "Opens" the office each day according to protocol.
  • Ensures mini-charts have been created, pulled, and/or located; attaches encounter forms to patient charts when patient arrives.
  • Keeps patient reception area neat and clean at all times throughout the day.
  • Facilitates any physician requests throughout the day.
  • Closes the office each day according to protocol.
 Registration/Check-In 
  • Greets patients as they arrive for scheduled appointments.
  • Provides new patients appropriate paperwork for required signatures (if they have not been pre-registered).
  • Verifies, enters and/or updates demographic and insurance information for new and established patients according to protocol; makes a copy of each patient's insurance card, front and back.
  • Scans insurance card and new patient paperwork into patient account.
  • Informs patients of the practice's collection policy at the time of service.
  • Ensures all patient paperwork is complete before patient is seen; puts the chart up for the clinical staff.
  • Monitors schedule, manages waiting room, alerts patients to any delays and offers to reschedule them.
  • Collects payment from patients at the time of their visit—goal is to collect at least 90% of all collectable charges daily; posts payment into NextGen; provides patients with a receipt.
 Check-Out 
  • Requests payment in addition to the day’s services from patients with outstanding account balances; provides patients with a receipt.
  • Ensures physician’s complete encounter forms; marking CPT and ICD-10-CM codes.
  • Schedules follow-up appointments for patients before they leave the office; provides an appointment card.
  • Facilitates requests for referrals; schedules tests and specialist appointments as needed.
  • Balances daily over-the-counter transactions and reconciles encounter forms with schedules, prepares deposit slip and delivers "daily close" packet to the Manager.
  • Deposits cash into safe at end of day.
 Appointment Scheduling 
  • Schedules patient appointments, according to physician-specified protocol and Company protocol for obtaining and entering pertinent information.
  • Coordinates new patient appointments with Appointment Scheduler.
  • Informs new patients about the Company’s website; encourages them to visit and print a map with directions to the practice.
